Privacy Policy

Contractor Stack LLC ("Contractor Stack", "we", "us") is the parent company that owns and operates TradeFlow AI (the "service"), customer follow-up software for HVAC, plumbing and electrical contractors ("Contractors"). Contractors use it to send estimate follow-ups, service reminders, review requests and similar messages to their own customers ("Recipients").

For Contractor account data we act as the data controller. For Recipient data that a Contractor enters, we process it on the Contractor's behalf and under their instructions.

"TradeFlow AI" is a product name of Contractor Stack LLC, not a separate legal entity. All personal information handled through the service is controlled by Contractor Stack LLC.

• Account information: name, email, company name, trade, and login details.
• Billing information: handled by our payment processor, Stripe. We do not store full card numbers.
• Recipient information entered by Contractors: name, mobile number, email, address, service history, estimate details, and the Recipient's text-message consent and opt-out status.
• Messaging records: message content, delivery status, and replies such as STOP, START and HELP.
• Website forms: details you submit through Book a demo or Contact.
• Technical data: basic logs such as IP address, browser type and pages visited, used for security and reliability.

• To provide the service, including sending messages a Contractor has approved.
• To process subscriptions and payments.
• To honor consent and opt-out requests and keep compliance records.
• To respond to support, demo and contact requests.
• To secure, maintain and improve the service.
• To draft suggested follow-up wording with AI when a Contractor asks; drafts are reviewed by the Contractor before use.

Contractors may only send texts to Recipients who have agreed to receive them. Consent is recorded in the Contractor's account before any text is sent, and the system blocks texts to anyone without consent or who has opted out.

Message frequency varies by service activity. Message and data rates may apply. Reply STOP to opt out at any time, START to resume, or HELP for help. See our opt-out options.

We do not sell, rent or share mobile phone numbers or text-messaging opt-in data with third parties or affiliates for marketing or promotional purposes. Consent information is used only to deliver the messages the Recipient agreed to receive.

We share information only with service providers that help Contractor Stack LLC run TradeFlow AI, under confidentiality obligations:

• Hosting and database providers.
• Stripe, for payments.
• ServiceTitan or Housecall Pro, when you connect them, to send text messages from your account.
• An email delivery provider, for account and notification emails.
• An AI model provider, only when a Contractor requests an AI-drafted message.

We may also disclose information if required by law or to protect rights and safety. We do not sell personal information.

We keep account and Recipient data while the Contractor's account is active. After an account closes we delete or anonymize it within a reasonable period, except records we must keep for legal, billing or compliance reasons — such as opt-out records, which we retain so opted-out numbers stay blocked.

Each Contractor's data is isolated from other accounts, access is limited by role, and payment and messaging credentials are stored securely on our servers. No system is perfectly secure, but we work to protect your information.

Depending on where you live, you may have the right to access, correct, delete or obtain a copy of your information, or to object to certain uses. Recipients can contact the Contractor directly or email Contractor Stack LLC and we'll pass the request on. We will not discriminate against you for exercising these rights.

TradeFlow AI is a business service and is not directed to children under 13. We do not knowingly collect their information.

We may update this policy. We'll change the effective date above and, for material changes, notify Contractors by email or in the app.
